1. Who We Are

weHivv is a patient growth and support platform for functional wellness and med-spa practices. We help practices attract, convert, and retain patients through AI-powered marketing and automated communications.

2. What Data We Collect

  • Practice account information (name, email, phone, business details)
  • Patient data submitted through journeys and campaigns (name, email, phone, quiz responses)
  • Social media account data when a practice connects their Facebook or Instagram account via OAuth (page ID, access tokens, post performance data)
  • Calendar data when a practice connects Google Calendar or Outlook (availability, booking confirmations)
  • Usage data (how the platform is used, feature interactions, device/browser info)

3. How We Use Your Data

  • To operate and improve the weHivv platform
  • To power AI-generated marketing copy and patient journeys
  • To send automated patient communications via SMS and email on behalf of practices
  • To publish scheduled social media content to connected Facebook and Instagram accounts
  • To analyze platform performance and surface insights to practices
  • We never sell your data to third parties.

4. Facebook and Instagram Data

When you connect your Facebook or Instagram account to weHivv:

  • We request permission to publish posts to your connected Pages and Instagram accounts
  • We store your access token securely in our database to enable scheduled publishing
  • We only access data necessary to publish and manage content on your behalf
  • You can disconnect your Facebook or Instagram account at any time from Settings → Integrations
  • Disconnecting immediately revokes weHivv's access to your account

5. Data Retention

  • Practice account data is retained while your account is active
  • Patient data is retained per your practice settings and applicable healthcare privacy laws
  • Social media tokens are deleted immediately upon disconnection
  • You may request deletion of all your data at any time

  • Access your data at any time from Settings
  • Export your data from Settings → Data & Privacy
  • Delete your data by submitting a request at wehivv.com/data-deletion or emailing privacy@wehivv.com
  • Disconnect any third-party integration at any time from Settings → Integrations

7. Security

We use industry-standard encryption and security practices to protect your data. All data is stored securely via Supabase with row-level security enabled.

weHivv is currently working toward SOC 2 Type 2 certification. We employ industry-standard security practices including encryption at rest and in transit, role-based access controls, and audit logging. We will notify you of significant changes to our security practices via email or in-platform notification.

8. SMS Communications

weHivv sends SMS messages on behalf of wellness practices and med-spas ("Practices") to their opted-in patients and contacts. The following applies to all SMS communications sent through the weHivv platform:

Message Types

Messages sent through weHivv may include:

  • Appointment reminders and confirmations
  • Post-visit follow-up messages
  • Health tips and wellness education
  • Promotional offers and announcements
  • Care journey updates and check-ins

Message Frequency

Message frequency varies based on each Practice's settings and the patient's active journey stage. Patients typically receive 2–8 messages per month. Message frequency will be disclosed at the point of opt-in by the Practice.

Opt-In

All SMS recipients have explicitly opted in to receive messages from the Practice through one of the following methods:

  • A digital patient intake form on the Practice's website, which includes clear SMS consent language at the point of submission
  • A paper intake form completed in-office that includes a checkbox to consent to SMS communications

Consent is collected by the Practice. weHivv operates as the platform provider and does not collect SMS consent directly from patients.

Opt-Out

To opt out of SMS messages from a Practice at any time, reply STOP to any message. You will receive a single confirmation message and no further messages will be sent. To re-enable messages, reply START.

Data Sharing

SMS opt-in data and phone numbers collected through weHivv are never shared or sold to third parties for marketing purposes. Phone numbers are used solely to deliver messages on behalf of the Practice the patient has a relationship with.

Fees

Message and data rates may apply depending on your mobile carrier and plan.

Messaging Service Provider

weHivv uses Twilio as its SMS messaging service provider. Messages are sent through a registered A2P 10DLC campaign in compliance with US carrier requirements.
